Administrative Assistant/Office Support Internship
Job Summary
The Administrative Assistant Intern provides support to all staff members, particularly the Executive Director in organizing and streamlining all office related tasks. The Administrative Assistant Intern is responsible for assisting in coordinating schedules, organizing office supplies and filing, managing correspondence, setting up meetings, and responding to inquiries. The Administrative Assistant is also responsible for helping to act as the first point of contact for the office to ensure communication is directed to the correct member of the team.
Essential Duties and Responsibilities
Managing general calendar/keeping track of schedules for team members
Scheduling meetings for Executive Director/Program Director
Managing supplies and ordering stock
Answering phones and responding to voicemails
Maintaining organization and cleanliness in the office
Completing administrative to do list from Executive Director each week
Checking Little Green Light weekly, update new contacts from website or mail
Assisting in managing 431 Contact Email
Writing thank you cards to new donors as needed
Fulfilling orders on Squarespace as needed
Assisting for updating Donor List Monthly
Assisting with volunteer management system to ensure sufficient volunteers in administrative and social media work
Assisting with developing written roles and responsibilities for volunteer positions with the volunteer coordinator
Perform all other duties as assigned
Knowledge, Skills, and Abilities
Decision-making: Administrative Assistants have to make independent decisions on a daily basis, addressing the best way to handle specific tasks.
Communications and collaboration: An Administrative Assistant must collaborate with other administrators and support personnel, management and clients on a regular basis.
Organizational skills: Organization and prioritization are the core elements of the Administrative Assistant’s responsibilities. You must know how to keep yourself and others organized and how to determine which tasks are the most important in a given list.
Writing: Spelling, punctuation, sentence structure and writing are essential to an Administrative Assistant, who must be proficient in a variety of styles, from creative to professional to technical, education and more.
